Introduction

 

The ITAuthorize External Permissions (ITA-EP) provides a robust, scalable framework for hosting Extranet applications.

A set of tools associated with the ITA-EP helps designated users with the administration of hosted sites and applications on the Microsoft Extranet. These Extranet Management Tools include:

System Administration Tool (SAT) – used to register applications with the system and to manage administrator system roles.

User Management Tool (UMT) - used to create and manage users, sponsorships, and user access to extranet applications.

Extranet Home Page (EHP) - allows users to login to the Extranet and access their configured applications.

User Registration Tool (URT)– allows users to register and activate their accounts with ITA-EP

Your Access to the Various Tools Depends on your System Role Assignment

The user’s System Role determines their access to the tools, features and links within the portal. The table below displays tools access and system role mapping:

*User's access to URT is limited to the time the user activates and registers his / her account.

After the user has been granted access to the application, they will receive an email from Extranet Management Tool (EMT) Production System, titled “Welcome to the Microsoft Extranet Home”.

Depending on the type of users and their system role, they may need to register their extranet account prior to accessing the application.

All extranet Active Directory partner users who have either Sponsor Delegate or End User roles will need to register their extranet account.  Invitation email from the Extranet Management tool and PIN information from users’ administrator are required information to register the user’s account.  As Microsoft Corporate users, only users with end user role will need to activate their accounts.  All other users will be able to logon to the extranet management tool soon after they are granted access to the tool.

Once the users activated their accounts, users will be able to navigate to EMT logon page to login to their applications.

There are three types of end users:

Business Partner (Active Directory) – These are individuals who work for partner companies and who will use the extranet applications to manage their business with Microsoft.  They exist outside the Microsoft Corporate active directory, as well, but use NT Authentication for the extranet logon. Extranet users must reset their passwords every 70 days.

Windows Live ID – These are individuals who work for partner companies and who will use the extranet applications to manage their business with Microsoft.  They exist outside the Microsoft Corporate active directory and use Windows Live ID Authentication for the extranet logon.

Microsoft Corpnet – These are individuals who work internally for Microsoft and are generally the administrators of the extranet application used by partner companies.

Logging on to ITA-EP

Follow these steps to access the Extranet Home Page:

1.    Go to https://home.ep.microsoft.com to access the Extranet Home Logon page.

2.    Click MS User.

3.    The Extranet Home Page opens. Since the user has already logged on the CorpNet, then the user will be automatically logged on to the ITA-EP.

Note: Some users may receive a second prompt to log on to an Extranet application if the extranet application has not implemented ADFS.

Key Steps of the ITA-EP Extranet Registration Process

 

Any person who wishes to access the ITAuthorize External Permissions (ITA-EP) Extranet (either as an Administrator or an End User) must register with the system.  The purpose of the registration is to provide users with:

•         The ability to become users of the system

•         Access to those applications they are authorized to use to complete necessary business tasks

Sponsors, Sponsorship Managers, Sponsor Delegates and Site Owners are the administrators for the applications in the system. Administrators provide access to end users and other Administrators.

Administrators request access to the system from the appropriate current administrator, according to their System Role:

•        Sponsor Delegates contact the Sponsorship Manager or Sponsor

•        Sponsorship Managers contact the Sponsor

•        Sponsors contact the Site Owner

The administrator adds users to the system and defines their system role based on the tasks they need to perform. Once added, they can logon to the Extranet Home Page. By assigning a user to a Sponsor, Sponsorship Manager, or Sponsor Delegate system role, the user automatically has access to the User Management Tool.

The Administrator grants Administrators and End Users access to ITA-EP Extranet applications by adding them to sponsorships and security groups. Once a user has been granted permission to the application, they will receive an automatically generated email invitation containing:

•        The registration link

•        The name of the administrator who added them to the system

•        Their system role

•        The application or sponsorship to which they have access
